How to Confirm Waste Data from Xero

Tracking waste is an essential part of building a complete emissions profile. When you bring your waste invoices over from Xero, CarbonTrail's AI does some heavy lifting to translate your standard waste collection bills into the exact metrics needed for carbon reporting.

Here is how to review and confirm your synced waste data.

How CarbonTrail Calculates Your Waste

Waste emissions are calculated based on the actual weight of the refuse in kilograms. However, most waste invoices only list the size of the bin that was collected (e.g., a 240-liter plastic bin) rather than the actual weight of the garbage inside.

When you use the AI extraction tool, CarbonTrail is smart enough to bridge this gap. The AI will read the bin size from your invoice line items, recognize the waste category (such as general waste), and automatically apply a default lookup table. This allows the system to instantly convert the bin volume into an estimated weight in kilograms for you.

Step-by-Step Guide

Once you are in the Waste section of CarbonTrail, follow these steps to confirm your data:

  1. Review the Transaction: Open a specific waste transaction from your list. Make sure the original Xero invoice is attached.

  2. Run the AI Extraction: Allow the AI to extract the data from the line items.

  3. Verify the Category and Weight: The AI will automatically select the appropriate waste category (e.g., General Waste) and populate the estimated kilograms based on the bin size listed on the invoice.

  4. Accept the Data: Review the details to ensure they make sense for the services provided, then click to accept the line items and save your data.

What if the AI doesn't automatically calculate the weight? > If your invoice is formatted unusually or lacks specific bin details, the AI might not automatically generate the kilograms. If this happens, don't worry! You can use the conversion resource provided here to manually calculate the conversion between bin sizes (liters) and weight (kilograms) before entering the final number yourself.
