Just like with your electricity usage, calculating your fuel and gas emissions based strictly on your financial spend doesn't give you the whole picture. Because the prices of petrol, diesel, and gas fluctuate constantly, knowing exactly how many liters or kilowatt-hours you used is crucial for a highly accurate Scope 1 and 2 footprint.
Here is how to confirm and extract the raw fuel and gas data that CarbonTrail pulls in from Xero.
Before You Begin
CarbonTrail works best when your fuel and gas receipts or invoices are attached directly to the transactions inside Xero.
Pro-Tip: Before reviewing your data in CarbonTrail, head into Xero and make sure your attachments are uploaded to your transactions. This makes the data extraction much faster! If you need to add them now, go ahead and do so, then let us know—we can re-import your Xero data to ensure everything is up to date.
What to Look For in This Category
The Fuel and Gas section contains a few different types of emissions sources. When reviewing your transactions, you will be looking for:
Transport fuels: Petrol, diesel, LPG, or jet fuel (e.g., fuel card receipts from Z Energy).
Stationary combustion fuels: Natural gas burned on-site (e.g., for cooking in a hospitality setting).
Gas deliveries: Bottled gases like propane for welding or carbon dioxide for fizzy drinks (e.g., from bottled Gas).
Refrigerants: Invoices for refrigerant gas top-ups for cold storage or air conditioning units.
Step-by-Step Guide
Once your Xero data is imported and your receipts are attached, follow these steps to confirm your usage data:
Navigate to the Fuel and Gas category in CarbonTrail.
Locate a specific transaction (such as a fuel receipt from your transport fuel provider). You should see the invoice attached directly from Xero.
Note: If the receipt is missing, you can click Replace or Upload Invoice and Receipt to add it manually.
Click the option to auto-extract line items using CarbonTrail's AI. This will automatically read the receipt and pull out the exact usage numbers (like the total liters of diesel purchased).
Review the extracted data to ensure the AI correctly identified the raw usage quantities.
If there are any discrepancies, manually edit the quantity in the provided field to match the invoice.
Click Accept All once you are satisfied that the data matches your receipt.
Repeat this process for every single line item across your transport fuels, stationary combustion, gas deliveries, and refrigerants.
